活动场地预订 & 资源请求

If you have an event that requires set-up service and/or custodial service, 请联系会议及活动 & Conferences and request the services needed by emailing Scheduling@buscalohijo.com.

会议活动 & Conferences will follow up on the request and 时间表 the set-up, 可拆卸的, 移动, 需要保管服务.

Adherence for all event reservations and resource requests will be 要求 in order to support a sustainable campus supporting equitable access and positive event experiences for all participants, 规划者, and all of us working behind the scenes to make these events successful.

  • 活动场地预订 must be submitted a minimum of fourteen (14) days 之前 to an 事件. 
    • 活动空间预订请求 received less than 14 days 之前 to the 事件 Date may incur a minimum fee charged to the requestor’s GL Account.
      • Note: Classrooms and Conference Rooms require a reservation request just 2 days in advance.
    • 活动场地预订 require a minimum of a 90 minutes between events for setup, 拆卸, 和清理.
      • Classroom spaces require a minimum of just 30 minutes between events.

Spaces Requiring pre-approval before MECS can book the space:

  • Athletic Spaces: contact Matt Buhler, 体育运动

  • Classrooms: Can be booked 后 the Add/Drop period concludes

如何申请事件空间:

  • Submit 你的 事件 Reservation Request directly through Astra Scheduling in MySMC
  • 通过电子邮件提交请求: Scheduling@buscalohijo.com

    • GL代码
    • 事件标题、日期、时间 & 位置
    • 事件 Reservation Time = Your Setup Time + 事件 Time + Tear Down Time
      • Setup Time: 包括 additional time in 你的 事件 Reservation 之前 to the actual 事件 Start Time so you can prepare the space for 你的 participants.
      • 事件 Time: Your advertised 事件 Time for 你的 participants
      • Tear Down:  包括 additional time in 你的 事件 Reservation the 事件 ends so you can clean up the space. Everything you bring into space must be removed during this time.

取消活动预订: 

  • All 事件 Reservation cancellations must be submitted a minimum of three (3) days 之前 to an 事件. 
  • 晚些时候取消 & 没有显示: GL代码s will be billed for all applicable labor hours spent. See below for the Policy and Fee Schedule for 活动场地预订 and 事件 资源请求.

事件资源请求截止日期

  • 技术 & 事件 资源请求 must be submitted a minimum of ten (10) days 之前 to an 事件.
    • 事件 资源请求 with less than 10 days notice will incur a fee to compensate for the additional labor 要求 to accommodate late requests. 
      • See below for the Policy and Fee Schedule for 活动场地预订 and 事件 资源请求.
    • 将您的活动资源请求发送至 Scheduling@buscalohijo.com. The Work Order system has changed… Do NOT use the Facilities Work Order system for 事件 needs.
      • Provide a GL代码 (if different from 事件 Space Reservation GL代码)
      • 包括 尽可能多的细节 about the resources you are requesting to ensure we understand what you are requesting
      • Linens are not provided by MECS; they are available through CaterTrax

      • You are welcome to contact the Service Desk x4266 with any questions

        • Failure to return loaned surge protectors and/or extension cords will incur a replacement fee for the full cost of the replacement purchased.
    • IMPORTANT NOTE: Tier Scheduled 事件 will receive 之前ity resource allocation. All other events 时间表d the same day may not receive exactly what is requested, but we will do our best to accommodate every event need.
    • Standard 事件 Layout Templates will soon be available on our website

MECS资讯科技服务
